Planning an Outdoor Event in Kigali: A Practical Tent Guide
Outdoor events in Rwanda have one golden rule: plan for sun and rain on the same afternoon. The tent you choose, and how you dress it decides whether your guests remember the programme or the weather.
Pagoda or stretch tent?
Pagoda tents are the structured option: aluminium frames with white PVC roofs in 3x3m, 6x6m and 10x10m modules (including a transparent version for evening events). They connect into rows and villages, take sidewalls for full weather protection, and give a formal, exhibition-grade look. Choose pagodas for trade fairs, registration zones, catering stations and ceremonies that need defined spaces.
Stretch tents are the free-form option: a single flowing canopy tensioned over poles, covering large open areas with no internal walls. They photograph beautifully and handle irregular sites well. Choose a stretch tent for receptions, concerts and social events where atmosphere matters more than compartments.
How much space do guests need?
A working rule of thumb: seated dinner, about 1.2–1.5 sqm per guest; seated ceremony rows, about 0.8 sqm; standing cocktail, about 0.6–0.8 sqm. So 100 guests at a seated dinner need roughly 130–150 sqm of covered space before you add the stage, dance floor, buffet line or bar. Always size the tent for the layout, not just the headcount.
The details that make it comfortable
Flooring. Grass looks lovely until it rains. Artificial grass carpet or flooring keeps heels, cables and chair legs stable.
Lighting. Kigali sunsets are fast. If your event crosses 5:30 PM, plan warm string or stage lighting from the start, it is the difference between an event ending and an event winding down.
Sidewalls and orientation. Rain rarely falls straight down. Sidewalls on the weather side, entrance away from the wind, and gutters between connected pagodas keep the inside dry.
Power and AV. Sound, screens and catering all need distributed power. Map the cable runs before the furniture goes in, not after.
A realistic timeline
Book the tent once the venue and date are confirmed good weekends go early in wedding and conference season. Site visit and layout: one week out. Installation: the day before the event for most sizes, with our crew handling anchoring, dressing and handover.
